Invoice calculator — frequently asked questions

Do I need to charge VAT on my invoice?

You must charge VAT if your business is VAT-registered in the UK. VAT registration is compulsory when your taxable turnover exceeds the current threshold (£90,000 for 2024/25). If you're below the threshold, you can still register voluntarily.

What VAT rate should I use on my UK invoice?

Most UK goods and services are subject to the standard 20% rate. Some items (domestic fuel, children's car seats) qualify for 5%. Most food, children's clothing, and books are zero-rated at 0%. Always check HMRC's guidance to confirm the correct rate.

How do I calculate the total for a UK invoice?

Multiply quantity by unit price for each line item to get the line total. Sum all line totals to get the subtotal (net amount). Then multiply the subtotal by your VAT rate to get the VAT amount. Add the subtotal and VAT amount together for the invoice total (gross amount).

Can I use this calculator for USD or EUR invoices?

Yes. Use the currency selector to switch between GBP, USD, and EUR. The maths is the same — only the currency symbol changes. Note that VAT rates shown are UK rates; different countries have their own sales tax or VAT rules.
