Company Registration Number vs UTR — what goes on an invoice?

Your Company Registration Number (CRN) — the 8-digit number from Companies House — is what belongs on your invoices. Your UTR (Unique Taxpayer Reference) is a 10-digit HMRC tax reference and should not appear on invoices unless specifically requested. As a company director you may have both a personal UTR (for Self Assessment) and a company corporation tax UTR — neither replaces the CRN on invoices.

Frequently asked questions

What must a limited company invoice include by law?

UK limited companies must include: the full company name (as registered at Companies House), the company registration number, the registered office address, and — if VAT-registered — the VAT registration number. You should also include a unique invoice number, the date, a description of goods or services, the amount due, and payment terms.

Is a company registration number the same as a UTR?

No — these are different numbers. Your company registration number (CRN) is issued by Companies House when you incorporate and is 8 digits long (e.g. 12345678). Your Unique Taxpayer Reference (UTR) is a 10-digit number issued by HMRC for tax purposes. As a director you may have a personal UTR for Self Assessment, and your company will also have a corporation tax UTR — but neither of these is the CRN that belongs on invoices.

Does my limited company need to show a VAT number on invoices?

Only if your company is VAT-registered. The VAT registration threshold is £90,000 turnover. If registered, you must issue VAT invoices showing your VAT number, the VAT rate applied, and the VAT amount charged. If you are not VAT-registered, you cannot charge VAT and should not show a VAT number.

What if my registered office address is different from where I work?

That is fine and very common — many limited companies use an accountant's address as their registered office. Yes. GBP is the default, but you can also invoice in USD, EUR, CAD, and AUD. Useful if your limited company works with international clients.
